Terms And Conditions

Registration Process, Payment Terms, Refund Norms, Privacy Policy & Consent

Process 1:-

  1. Choose an event of your interest from our SCHEDULE.
  2. Select any product, check the details and proceed to pay.
  3. You will receive an email from our side confirming your registration.

Note: You are entitled to earn TMI Plus loyalty points on selected packages only if you book online through our website.

 

Process 2:-

  1. Choose an event of your interest from our SCHEDULE.
  2. Call or mail us to enquire about the availability of seat for the event.
  3. Send an email to info@trekmatesindia.com with Full Name, Mobile Number & Email Id to block your seat.
  4. You will get a mail confirmation of blocking & will be asked to make the payment and some other essential details.
  5. Transfer the money to “Trek Mates Outbound Services Pvt. Ltd.” Bank Account. (Check the account details in Payment tab)
  6. Once payment is done, please send an email to info@trekmatesindia.com with  Transaction details.
  7. You will receive the confirmation from our office, so your registration is confirmed, thus finishing the registration process.

 

Note:

The payment to be done within 2 working days of seat blocking or 2 working days prior to the event, whichever is earlier.

For last minutes registrations, on spot payments are not allowed.

Payment by Cash in Bank:

Cash Payments can be deposited in the nearest ICICI Branch to our given account.
While depositing cash please tell your Name at the Cash Counter.

 

Payment by Cash at office:
Cash Payments can also be done at Trek Mates India’s office – Straub, in Thane.

No card payment facility available.
(Office Time – 11:00 am to 08:00 pm).

 

Payment by Cheque:

You can deposit a Cheque in our ICICI account (Branch or ATM drop box), from ANYWHERE IN INDIA in Following Account.

Cheque Payment is allowed before 3 days of the event. Please write A/C No. & Branch on the reverse of the cheque. Drop the cheque in any of the ICICI Branches or the drop box of ICICI ATM centers close to you.

 

Account (Online) Transfer (NEFT / IMPS):

Payments can transferred online via NEFT/IMPS to our given Bank Account

E-Transfer is allowed before 3 days of the event.

 

Post Payment:
Post payment, send us an email at info@trekmatesindia.com mentioning a few details
1. Name,
2. Mobile number,
3. Email Id of all the Participants,
4. Complete Address, Emergency Name & Contact Number.
5. Screen shot of Amount Transferred / transaction ID / Ref. ID / cheque no. / Scan copy of bank receipt.
6. Date & Name of the event

 

Note:

  1. Direct payment does not automatically ensure entry to the event. Before transferring the amount, you are required to confirm with the Trek Mates India’s office if the seats are available.
  2. If amount is transferred without consulting, the registration will not be considered. The amount will be refunded by NEFT/cheque at office after 10 days from the date of Event.
  3. Registration will not be considered Valid till we receive the email giving all the details mentioned above. After receiving your mail we will send you the confirmation of your Participation for the event by Email which concludes the registration process.
  4. No TMI Plus Loyalty points will be awarded if booked through this process
  5. By registering or joining any of the program organized by Trek Mates Outbound Services Pvt. Ltd., it is assumed that you have read , understood & agreed to the Rules, Regulations, Terms, Conditions, Consents and Privacy Policy.

Refund Norms For Events of duration 6 days & more:

  1. 70% refund if cancellation is made more than 90 days prior to the date of departure date of the event.
  2. 50% refund if cancellation is made more than 60 days and less than 90 days prior to the departure date of the event.
  3. 30% refund if cancellation is made more than 30 days and less than 60 days prior to the departure date of the event.
  4. NO refund will be made if cancellation is made within 30 days prior to the departure date of the event.

 

Refund Norms For Events of duration 3 days & more:

  1. 90% refund if cancellation is made more than 60 days prior to the date of departure date of the event.
  2. 75% refund if cancellation is made more than 45 days and less than 60 days prior to the departure date of the event.
  3. 50% refund if cancellation is made more than 30 days and less than 45 days prior to the departure date of the event.
  4. 25% refund if cancellation is made more than 15 days and less than 30 days prior to the departure date of the event.
  5. NO refund will be made if cancellation is made within 15 days prior to the departure date of the event.

Refund Norms For Events till 2 days duration:

  1. 90% refund if cancellation is made more than 10 days prior to the date of departure date of the event.
  2. 40% refund if cancellation is made more than 4 days (96 Hrs) and less than 10 days prior to the departure date of the event.
  3. NO refund will be made if cancellation is made within 4 days (96 hrs) prior to the departure date of the event.

Refund Norms For Dudhsagar Events:

  1. 90% refund if cancellation is made more than 120 days and less than 45 days prior to the departure date of the event.
  2. 50% refund if cancellation is made more than 45 days and less than 30 days prior to the departure date of the event.
  3. NO refund will be made if cancellation is made within 30 days prior to the departure date of the event.

 

 

Cancellation Policy

  1. Please note that cancellation charges are calculated on the Total amount payable and not of advance amount paid.
  2. Trek Mates Outbound Services Pvt. Ltd. will not be responsible for any losses incurred for any train/air/bus/taxi bookings, hotel bookings or extension to the camp done by clients/participants (either independently or through us)
  3. Refund will be paid only by NEFT /cheque after 10 days of the completion of event. Even in case of trek cancelled by Trek Mates India the same process will be followed.
  4. Transfer of booking to another event will be permitted where feasible and will be at the discretion of the management and participant consent.
  5. The transfer of booking from management side or from participants side will be allowed only once. Afterwards the amount will be processed as per the existing refund & cancellation policy.
  6. If the management cancels the program and transfer of the booking is done, the full amount will be transferred to the new event.
  7. If the participant cancels a booking and opts for transfer of the booking to any other event, only the refund amount (as per applicable policy), will be transferred to the new event.
  8. In case participant cancels the booking of an event where transfer of booking is done, the participant will be refunded the amount as per applicable cancellation policy.
  9. In case of cancellation of any event due to reasons beyond control (like Natural calamities, riots, political uncertainty, public transport failure etc.), refund shall be payable with respect to the given refund norms.

User Agreement

By registering or joining any of the program organized by Trek Mates Outbound Services Pvt. Ltd., it is assumed that you have read , understood & agreed to the Rules, Regulations, Terms, Conditions, Consents and Privacy Policy.

 

This User Agreement constitutes a binding contract between you, the participant, and Trek Mates Outbound Services Pvt. Ltd., the service provider, with regard to the use of various services that are provided by Trek Mates Outbound Services Pvt. Ltd. Please read these terms & conditions and our general information carefully before your tour booking with us. Trek Mates Outbound Services Pvt. Ltd is a company incorporated under the laws of India, with its registered office at A/1/11, Jai Trimurti CHS, Off Mumbai – Pune Old Highway, Kalwa West, Thane – 400605, India, provides various travel related services through its Website (www.trekmatesindia.com) & retail outlet at head office in Thane. Services are offered to the participant conditioned on acceptance without modification of all the terms, conditions and notices contained in this Agreement. For the removal of doubts, it is clarified that availing of the Services by the participant constitutes an acknowledgement and acceptance by the participant of this Agreement. If the participant does not agree with any part of such terms, conditions and notices, the participant must not avail our Services. Additionally, the Service Provider itself may provide terms and guidelines that govern particular features, offers or the operating rules and policies applicable to each additional service (for example, flights, hotel reservations, packages, etc.). The participant shall be responsible for ensuring compliance with the terms and guidelines or operating rules and policies of the Service Provider with whom the participant elects to deal, including terms and conditions set forth in a Service Providers’ fare rules, contract of carriage or house rules. Trek Mates Outbound Services Pvt. Ltd reserves the right not to accept any order placed by the participant through the Website without assigning any reason thereof. Any contract to provide any service by us is not complete until full money towards the service is received from the participant and accepted by Trek Mates Outbound Services Pvt. Ltd.

Trek Mates Outbound Services Pvt. Ltd. respects your privacy and recognizes the need to protect the personally identifiable information (any information by which you can be identified, such as name, address, and telephone number) you share with us. We would like to assure you that we follow appropriate standards when it comes to protecting your privacy on our websites. With specific reference to booking/e-commerce transactions, Trek Mates Outbound Services Pvt. Ltd collects the following personal sensitive information from you while transacting through Trek Mates Outbound Services Pvt. Ltd  such as Name, Sex, Phone Number, Address, Credit Card details, Date of birth in case of a child. Customer name, address, phone number, traveller’s name and age are shared with applicable service providers like the airlines, hotels, guides, drivers, trip leaders etc., for the purpose of reservation and booking the services for the customer/traveller. Information like Credit Card Details and Net Banking Details are usually collected directly by the payment gateways and banks and not by Trek Mates Outbound Services Pvt. Ltd. Information like Mobile no, e-mail address and postal address may be used for promotional purposes, unless the customer/user “opts-out” of such use. If you choose not to share this information, you can still visit the www.trekmatesindia.com website, but you may be unable to access certain options, offers and services.

 

By registering or joining any of the program organized by Trek Mates Outbound Services Pvt. Ltd., it is assumed that you have read, understood & agreed to the following.

 

  1. A planned activity or programs may be cancelled or revised depending on the weather and availability of suitable qualified instructor.

 

  1. All activities & programs carry an amount of risk of injury and you are aware that outdoor activities have an inherent risk of personal injury.

 

  1. You are joining an outdoor activity where any incident/ Natural calamity can happen & you agree that organizer shall not be held responsible for the any accident, mishap (including death) caused by any circumstances (artificial or natural).

 

  1. ln emergency situation, you consent to any medical treatment recommended by a qualified medical practitioner (this could include inoculations, blood transfusions, surgery or the use of anesthetic).

 

  1. You understood that the photographs taken during the activity which can be used for publicity purpose. You consent to allow organizers to photograph you and allow them to use for publicity purpose. You also consent to allow organizers to use the photograph clicked by you for publicity purpose.

 

  1. You understood that a certain level of acceptable behavior is required to participate in outdoor activities and that you may be excluded from activities if this level is not maintained. I understand that organizer will not be responsible for the supervision of any participant excluded from activities.
